Learn how to use advanced approval routing settings in StreamWork to add security, customize reviewer invitations, lock decisions, control downloads, and manage version uploads.
Accessing Approval Settings
When setting up an approval workflow in StreamWork, you can take advantage of advanced options by selecting the Approval Settings tab. These settings give you more control, flexibility, and security over how your approvals run.
Available Approval Settings
- Add Password to Review Link: For extra security, you can protect review links with a custom password. Reviewers must enter the password to unlock and access the link. Note: Be sure to share the password with any reviewers you’ve invited.
- Add custom invitation message: to the approval routing emails that StreamWork automatically sends to reviewers. This is helpful for adding context about the assets under review. The same message will be sent to all reviewers in the stage.
- Lock decisions: If enabled, reviewers cannot change their decision or add new comments after they’ve submitted their feedback. This ensures decisions remain final once given.
- Allow download only for approved media: Control when reviewers can download media. If enabled, media cannot be downloaded until it has been officially approved. Any media still under review remains locked.
- All versions: If enabled, allow reviewers to see all media versions in the review link.
Upload Settings for New Versions
When a new version of an asset is uploaded while an earlier version is still under review, approval managers can control how StreamWork handles it:

Pause Approval Routing: Approval pauses until a designated routing manager reviews and approves the new version. Approval managers will be notified via email if an approval is awaiting their input.

Restart Approval Routing: Approval starts over from the beginning with the new version.

Restart Current Stage: Approval routing restarts only from the current stage.
By tailoring these settings, teams can add the right balance of flexibility, control, and security to their creative approval workflows.
